VOBA UK Transcription Process
VOBA follows a strict transcription process that ensures that we know where any recording is at any point in time. This process is described below:
Pre Submission Preparation
In order to maximise efficiency and minimise risk VOBA requires clients to undertake a small amount of pre-submission preparation of its audio recordings.
All audio recordings, whether tapes or digital audio files, must be clearly labelled or names. Any audio recordings with multiple volumes must have sequential numbering included on the label or filename.
We then use these labels and filenames to track your audio recordings throughout all steps of transcription. This is so we know where they are, who is transcribing them, who the Account Manager is responsible for them, and who is quality checking them.
Receipt Confirmation
On receipt, a receipt confirmation will be emailed to you. We will then check-in your audio recordings, and review their quality and duration.
Transcription Preparation & Allocation
Your Account Manager will prepare your audio recordings for transcription and allocate them to transcriptionists. If we do not have enough tape transcriptionists to complete your transcription in time, we will digitize them. Preparation may also include listing any unfamiliar terms, and agreeing a transcript template format.
Transcription
Once allocated your audio recordings will be transcribed by one or more of our Transcriptionists.
Quality Assurance
We adopt a two-fold quality assurance process. Firstly each transcriptionist will quality review their own transcripts, and secondly your Account Manager will quality check all transcripts before approving their return.
Transcript Return
Once approved your transcripts will be returned to you by email. As an added value service we are ahappy to print, bind, and distribute transcripts on your behalf.
Return and/or Destruction of Audio Recordings
Once you are happy with your completed transcripts we will either return your audio recordings at cost or securely destroy them.
